Donation Policy

This is a draft policy. This note was sent to librarians on Monday August 21, 2017.

Attached is a draft donation policy for the general collection. Melinda said she would add this item
to the agenda for the Thursday librarians meeting.
The biggest concern is having a policy for donations of vinyl. The attached policy states that we will
not accept audio/visual materials without prior approval. In order to accept audio/visual materials
(other than films) we will need a collection statement to cover vinyl records and CDs. The relevant
paragraph, under “Internal Procedures” is:
“Recorded music, including vinyl record albums and CDs, require different processing. The
librarian who works with the Music programs will have primary responsibility for deciding
what should be added, in accordance with a collection statement that has not yet been
written. Until that statement is written, the default will be to choose not to add recorded
music to the collection. Exceptions should be limited and well documented.”

Textbooks

This was included in a note to librarians, sent November 20, 2017:

"Also, please note that our policy is that we do not buy textbooks. We do sometimes make
exceptions, but those definitely are exceptions.
*If a book that is being used as a textbook is a book that should be in our collection, then we can
order a single print copy, or a single-use e-book.
*If you believe that a multiple-use or unlimited-use e-book would be heavily used and would save
our students money, then please let Carrie & me know; there are several purchasing options that we
can consider.
*Some programs put faculty personal copies on reserve for their students. This is fine but we cannot
purchase textbooks for classes where there is no faculty personal copy.
*If you need to refer a faculty member of administrator to someone else, you can refer the person
to me, or, if you feel more comfortable doing so, you can refer the person to Scott or Leah."
